Event jersey printing cost, explained input by input

There is no honest rate card for this, because two events with the same guest count can differ by thousands. Here is exactly what moves the number, so you can build a defensible budget line before you ever talk to us.

If you need one number for a planning deck today, multiply your expected guest count by $30 and sanity-check it against the $5,000 floor. That will not be your final quote, but it will not embarrass you in a budget meeting either.

The per-guest range is wide for a reason. A cotton tee and a mid-weight polyester jersey are different garment costs, and a two-hour reception and a seven-hour tournament day are different staffing costs against the same headcount.

The eight inputs that actually move it

Cost drivers
INPUT 01

Hours on the clock

Staffing is billed hourly and the clock includes setup and teardown, not just the guest-facing window. A three-hour reception is realistically a five- or six-hour crew day. Building that into the budget up front prevents the most common quote surprise.

INPUT 02

Lane count

Lanes are the throughput dial. More guests in less time means more presses and more operators. This is the line most worth spending on, because an under-laned station is the one thing guests will actually complain about.

INPUT 03

Blanks

Jersey cost varies by cut, weight and colour, and it is a per-unit multiplier across your whole guest count. If you already own kit, supplying it removes the single largest variable from the quote.

INPUT 04

Art preparation

A clean vector logo and a decided layout is a short prep. A photo of a logo pulled off a slide deck, three rounds of stakeholder feedback, and a decision made the week of the event is not. Lock artwork early and this line stays small.

INPUT 05

Travel

Orange County, Los Angeles and San Diego are local. Outside those areas, travel is $900. Las Vegas and further-flung programmes are quoted with that in the build.

INPUT 06

Take rate

Not everyone at a 900-person conference will queue. We scope against a realistic take rate rather than headcount, and we would rather over-order blanks slightly than send guests away empty-handed at hour two.

INPUT 07

Complexity

Multiple print locations, a second garment type, a VIP tier with embroidery, or a text-when-ready pickup flow all add real time per unit. Each is worth having — just price them deliberately instead of assuming they are free.

INPUT 08

Venue conditions

A ballroom with a loading dock is cheap to work. A rooftop with a single service elevator, a 5am badge window and no power within sixty feet is not. Tell us the awkward parts early and they stay small.
